What can we do when teaching tutors about the comments section on pack delivery forms to better advocate for HIPPY
A common question from sites is what happens to ETO data, who reads it, how it is used, and why it matters. Sites also often ask for support on how to guide Tutors when completing the comments section on Pack Delivery forms so their input is used in the most helpful way.
How ETO data is used - ETO data is used in several ways across the HIPPY network:
- Network-level insights: We share regular data summaries in newsletters to show trends, highlight achievements, and help sites understand how their data contributes to the bigger picture.
- Advocacy with DSS: Program-wide data helps us demonstrate outcomes, identify needs, and advocate for the HIPPY model at a national level.
- Reporting and program improvement: Data helps inform planning, quality assurance, and decision making at both site and national levels.
About the comments section on Pack Delivery forms - It’s helpful to clarify to Tutors that:
- The comments section is mainly for Coordinators, not for national level reporting.
- Its purpose is to support:
- supervision conversations
- planning for Tutor training
- understanding individual family needs
- These comments are not used for DSS advocacy.
Where advocacy information does come from - For national level advocacy, we rely mostly on:
- Coordinator and Line Manager reports
- Staff Outcomes (Staff Exit) data
- Family Journey forms
- Broader quantitative data across ETO.
The comments on Pack Delivery forms aren’t intended for this purpose, so Tutors don’t need to frame their notes as advocacy messages.
Supporting Tutors to use the comments well - When teaching Tutors about the comments section, encourage them to focus on:
- key observations from their interaction with the family
- what worked well in the delivery
- what the family may need next
- anything that would help with supervision or future training
Keeping comments practical and family focused makes them more useful for program delivery.
Where sites can learn more: Both the ETO Manual and the ETO 101 module on the LMS provide helpful guidance on:
- what reports are available
- how to run them
- how sites can use data to review service delivery or produce statistics to support program promotion.
